When you request a booking — on this website, or through an AI assistant using our public booking interfaces — we collect: your name, email address, phone number, your requested dates and party details (guests and dogs), and any message you include. Our servers also keep short-lived technical logs (IP address, request details) for security and rate-limiting.
Payments are processed by Stripe on Stripe's own secure checkout pages. Your card details never touch our servers. For confirmed bookings, Stripe provides us your billing confirmation details.
If you use an AI assistant (such as Claude or ChatGPT) to check availability, get a quote, or request a booking, the assistant sends us the same details listed above and we treat them identically. What your assistant provider retains is governed by their privacy policy, not ours.
To answer availability and pricing requests; to review and approve booking requests (the owner is notified of your name, dates, party details and phone number in order to approve or decline); to send booking confirmations and stay information by email; and to keep records we are legally required to keep.
Service providers who make the booking system work: Stripe (payments), Telegram (delivery of the owner's approval notification), our email delivery provider (confirmation emails), and our hosting provider (servers located in the EU — Hetzner, Finland). We also load web fonts from Google, which means your browser requests those fonts from Google's servers when the page loads. We never sell your information.
Booking requests that expire or are declined are deleted within approximately 90 days. Confirmed bookings are retained for up to 6 years to meet UK tax and legal obligations.
This site does not use advertising or tracking cookies.
Under UK data protection law you can ask for a copy of your information, ask us to correct or delete it, object to or restrict our use of it, and complain to the Information Commissioner's Office (ico.org.uk). Email hello@rosecottagefife.co.uk and we will respond promptly.
If this policy changes, the new version will be published here with a new effective date.
